Got an old on hold tape, and a brand new VoIP phones? Your on hold cassette tape played on a “traditional” phone system…one where there’s a “box on the wall” in a back closet or down in the basement. Everyone who was asked to “please hold” learned more about your business.
But VoIP phone systems are different: you don’t need phone hardware at your business. Everything happens over the internet. You actually have a cloud based phone system making your old PBX system unnecessary.
But where do you put your on hold tape?
The old hold tape used to play in a digital playback system. That part of your phones has been eliminated. So how do you play your recording?
The answer is simple: your on hold messages play in the cloud, too. Every VoIP phone service lets you load your on hold advertising onto your VoIP Service.
Even VoIP phones have “hold” buttons.
Hold buttons haven’t disappeared, even if the old PBX telephone system has. The statistics show that your business telephone callers still get placed on hold…and they still find it annoying. So it’s a great idea to continue to use your message on hold recording.
How do you load it?
There’s a little problem with cassettes: to load your recording onto your VoIP system, you have to convert it into a file in a specific format (one of the 6 types of .wav files, or one of many types of mp3 files, or .raw files, or other strange formats).
Once you have the file, you can either
- call your VoIP Customer Support Department
- or load it from your User Dashboard.
It’s usually pretty easy.
How do you convert the recording?
To convert the file into a digital format, you play the audio cassette into your audio editing software, and save it in the format that’s right for your system. Check with your VoIP provider for the exact format you need. VoIP Systems are just computers…so they don’t work if you don’t send them exactly what they want.
