  1. The first step is taking about your business, your products and services, and your customers’ needs
  2. Use these ideas to develop a strategy (this is important because if you “fail to plan, you plan to fail”) of what you can accomplish
  3. Take the time to write a script: because of the way that callers will hear your messages shorter messages work better than longer ones. Messages should probably be less than 30 seconds in length, preferably shorter.
  4. Now go back and edit your messages! Though they may seem good, you can make them better: more concise, and more focused.
  5. Record them: your messages will only sound as professional as the quality of the recording. Be sure that your on hold voiceover is good.
  6. Put them to work! Get them playing for your callers to listen to. (For PBX telephone systems you may need an on hold player) Then keep them updated regularly to keep them timely and up to date.
